Primary Purpose:
  Organize and manage the routine work activities of an administrative department office and provide clerical services to the Director and Board of Directors.

Qualifications:
  Education/Certification:
  High school diploma or GED; 2 years of college or business school preferred
  Special Knowledge/Skills:
  Proficient skills in keyboarding, word processing, and file maintenance
Ability to maintain accurate and auditable records
Effective communication and interpersonal skills
Basic math skills
Ability to use personal computer and software to develop spreadsheets and databases and do word processing
Strong organizational, communication and interpersonal skills
Ability to organize special events and fund raising activities
Proficient in Quickbooks

  Experience:
  One to three years of secretarial experience preferably in a public education environment or non-profit environment.

Major Responsibilities and Duties:
  Records, Reports, and Correspondence
  1. Prepare correspondence, forms, reports, etc., for the Director and Board of Directors using personal computer.
2. Coordinate Board of Directors meetings and take minutes.
3. Assist in preparing and organizing Foundation marketing materials.
4. Maintain physical and computerized system of donor and alumni information for use by Director, Board of Directors and Alumni Association officers.
  Accounting
  5. Perform bookkeeping tasks, including billing, deposits, credit cards, and tax forms for donors.
6. Assist with the preparation of corporate and foundation grants.
7. Assist with organizing the grant application process for review by the Board of Directors.
8. Assist with the preparation of purchase orders and payment authorizations.
  Other:
  9. Answer incoming calls and handle day-to-day requests from Board of Directors.
10. Maintain confidentiality of information.
11. Perform other duties as assigned or requested by the Director or Board of Directors.
Supervisory Responsibilities:
  None.

  Personal computer, typewriter, printer, calculator, copier, and fax machine.
